Virtual Secret Santa, step by step
A team spread over three time zones, a family split between Montreal, Calgary and somewhere warm, friends who scattered after school: distance is no reason to skip the gift exchange. A virtual Secret Santa keeps the tradition alive with an online draw, wish lists everyone can shop from, gifts sent ahead of time and a reveal on video.
This guide covers the whole thing, from the draw to the last box unwrapped on camera, with practical tips on budgets and shipping deadlines.
What is a virtual Secret Santa?
A virtual Secret Santa is a gift exchange where people are not in the same place. Names are drawn online, each person shops from their giftee's wish list, gifts are shipped or delivered ahead of time, and everyone opens them together on a video call. The rules stay the same; only the logistics change.
Step 1: Draw names online
With people in different cities, a hat is not an option. Use a Secret Santa generator so each person discovers their result privately, wherever they are. In Secret Noël, the organizer names the group, adds the participants and sends invitations by email or with a link shared in your usual chat. Everyone confirms, then the organizer launches the draw.
The draw is random and done by the server. It respects households and exclusions, and the organizer never sees who drew whom, so the person who set everything up can take part like everyone else. Each participant opens an animated virtual gift box to discover their person, a fun little moment even on a phone.

Step 2: Set a budget, and decide who pays for shipping
Shipping is the hidden cost of a long-distance exchange. Decide up front whether the budget includes delivery. A simple rule: the budget covers the gift itself, and everyone either orders online with delivery to their giftee or picks something small and light to mail.
Secret Noël lets you set a maximum price, a fixed amount, a range or a random amount for each person. For a remote team, a modest maximum keeps things fair between people who pay very different shipping rates. Ideas above the budget are flagged on wish lists, so nobody overshoots by accident.
Step 3: Fill in wish lists with links
Wish lists matter even more when you cannot peek at someone's desk or living room. Ask everyone to add a few ideas with a store link and a price, plus sizes and favourite colours. In Secret Noël, each idea can have a photo, a link to Amazon or any other store, a price and a favourite marker, and three quick prompts cover what they love, what to avoid, and sizes and colours.
A store link is especially handy at a distance: the giver can order from a shop that delivers near the giftee. For more inspiration, browse our Secret Santa gift ideas under $20, $30 and $50.
How do you ship a gift without giving yourself away?
Share everyone's mailing address openly with the whole group, so knowing an address reveals nothing. Then order online with delivery straight to your giftee, leaving your name off the gift note, or mail the parcel yourself without a return name. For a remote team, shipping everything to one coordinator works too.
Watch out for packing slips: many online stores print the buyer's name on the slip or the gift message. Use the store's gift option if there is one. Secret Noël does not ask for mailing addresses, and anonymous messages are filtered so they cannot contain numbers or links, so plan how addresses will be shared, for example in your group chat.
- Set a shipping deadline at least ten days before the exchange, more for international mail
- Mark parcels clearly: do not open until the video call
- Think about customs and duties for gifts that cross a border
- Prefer small, light and unbreakable gifts when you mail them yourself

Step 4: Keep the mystery alive from a distance
Remote groups lose the hallway moments where people drop hints. Anonymous messages bring them back: in Secret Noël, you can write to your giftee and to your own Secret Santa, both anonymously, in up to 500 characters. Messages are filtered so nobody gives themselves away by accident.
Use them to confirm a size, ask whether a parcel has arrived, or send a little holiday teasing. Email reminders help too, so nobody in another time zone forgets the shipping deadline.
Step 5: The video reveal
Book a 45 to 60 minute video call close to the exchange date, at a time that works across time zones. Ask everyone to keep their parcel unopened and within reach.
- Open gifts one at a time so each person gets the spotlight.
- Before opening, the receiver guesses who their Secret Santa is.
- The giver reveals themselves after the guess, or stays a mystery forever.
- End with a group screenshot as your holiday photo.

Virtual Secret Santa for remote teams
At work, keep it opt-in and the budget modest, and make sure remote and on-site colleagues get the same experience. If some people are at the office and others at home, run one group for everyone and hold the reveal on video, so remote staff are not watching a party they cannot join. Our office Secret Santa guide covers budgets, exclusions and etiquette in more detail.
With room for up to 5,000 people and invitations by email, link or QR code, a large distributed team is no harder to run than a small one.
Long-distance family Secret Santa
Families spread across provinces or countries can keep one shared exchange instead of mailing a gift to everyone. Put couples and people who live together in the same household so they never draw each other, and pick a time for the video call that suits the grandparents too. Relatives who do not use email can join with a link sent by text or a printed card: see Secret Santa without email.
Frequently asked questions
How much time do you need to ship gifts for a virtual Secret Santa?
Plan at least ten days of shipping within the same country, and more for parcels that cross a border. Working backwards, that usually means drawing names three to four weeks before the video call.
Can a virtual Secret Santa include people who will be there in person?
Yes. Everyone joins the same group and the same draw. People in the same room can hand over their gifts directly, and remote participants open theirs on the video call at the same time.
Can I send my mailing address through an anonymous message?
No. Messages are filtered and cannot contain numbers, links, emails or names, so an address will not get through. Share addresses in your group chat or with a coordinator instead.
What if time zones make a live reveal impossible?
Ask each person to record a short unboxing video and share it in the group chat, or split the reveal into two calls at friendlier hours. It is less chaotic, but the guessing game still works.
